Create private tasks

Here's how to create a private task:

Go to your Personal Space
Click on the Tasks Tab
Enter the task
Click on + or simply on Enter to validate the entry.

A task entered in the personal space is private, which means that only you can see it.

Create tasks in a workspace

Here's how to create a task in a workspace :

Go to the Workspace in question
Click on the Tasks Tab
Enter the task
Click on + or simply on Enter to validate the entry.

A task entered in a workspace is shared with the members of that workspace. By default, it is not assigned to anyone.

Share a task in a workspaces

When a task is created from the Personal Space, it can be shared in a Workspace through an option in the Details pane. This will make the task accessible to all members of that workspace.

Click on the task to share, the details pane opens on the right side of the screen.
Click on the Share in a workspace field.
Choose the space in which the task is to be shared by clicking on one of the proposals or by entering the name of the space in question.

Once the space has been selected, it is possible to add other spaces in which the task must also be shared. Note that the task will be visible in the different workspaces but will not be duplicated. Thus, if the task is completed in one workspace it will be automatically completed in the others. To add a space in which the task must also be shared :

Click on the + button
Choose the space in which the task should also be shared by clicking on one of the proposals or by entering the name of the space in question.

It is possible to delete a selected space by clicking on the trash can icon attached to the label of the space in question.

To restore a team :

Click on the "Teams" shortcut at the bottom of your main screen
Select Deleted Teams from the filter in the top right corner of the screen.
Locate the team to be restored and click on the button with the three vertical dots.
Click on Restore

What is a team?

A team represents a department or service within your organization. This group of people may collaborate on different projects, share the same specifications or attend joint meetings. The idea is to link workspaces and checklist templates to the different teams in your organization.

This way of grouping collaborators is particularly aimed at structuring your network. It also facilitates the integration of new users, who can simply be added to the appropriate team when their accounts are created. They then have direct access to the workspaces and checklist templates that apply to them.

Start a checklist

Before starting a checklist

To start a checklist, you must first create a checklist template with a list of predefined tasks. To create a checklist template, please refer to the following article: Creating a checklist template.

Once the template is created, it is possible to start checklists that will be generated according to it. For example, a checklist will be started from the template Employees onboarding when a new employee is hired. Another example: a checklist will be started from the Open Day template each time the event has to be organized.

Start a checklist

To start a checklist from a template :

Go to the checklist template in question
Click on the button with the three vertical points
Click on Start a checklist

There is also a quick button to start a checklist from a template :

Go to the checklist template in question
Click on the Start button at the top left of the screen.

To move a checklist template within a team :

Click on the model in question
Click on the button with the three vertical points
Click on Move to another team
A window opens: from the drop-down menu, select the appropriate team.
Click on Save

The checklist template will be made public to the entire team, so that people who were not originally members of the template can join it if necessary.
